Event Manager
Location: Dallas, TX 75225
The Event Manager is responsible for assisting congregational families with all life cycle events and events held at Temple by outside organizations. He/she meets with Temple families, Temple Engagement staff, and authorized outside groups to coordinate the use of Temple facilities for all life cycles, Shabbat and holiday programming, and outside rental events. Life cycle events include Bar/Bat Mitzvah services, weddings, baby naming ceremonies, funeral services, and corresponding receptions.

• Experience in the hospitality industry
• Strong project management skills
• Excellent interpersonal skills
• Computer experience – word processing, database, and spreadsheet
• Ability to work on a variety of projects simultaneously
General Duties:
Provide Temple rules and regulations to Temple families, outside guests, caterers, florists, etc. Obtain and control applicable contracts for the use of Temple facilities.
Meet with Temple families, outside guests, and appropriate Temple staff to collect all details for events, listen to their needs, and present ideas and solutions to their requirements. Document all setup and logistical details of the event.
Collect contracts and deposits from bar/bat mitzvah families current to 3 years out. Initiate invoicing for room and equipment rental. Coordinate the collection of room fees, equipment rental, and Bar/Bat Mitzvah fee receivables with the finance department.
Obtain approval from the Facilities Director, Executive Director, or Clergy when applicable for outside groups to use Temple facilities.
Contact Bar/Bat Mitzvah families to confirm worship locations 10 months before the assignment date. Communicate choices to the appropriate Temple personnel.
Manage and control room setup distribution requests, life cycle receptions, and events for an outside organization, and communicate with appropriate facilities personnel.
Communicate delivery information between Temple families, outside groups, caterers, florists, other vendors, and Temple Facilities department.
Oversee life cycle events and Shabbat receptions to ensure Temple families receive the necessary assistance and have appropriate space and equipment for a successful service or celebration.
Maintain vendor list, updating as needed. Ensure room rental contracts include current information regarding rules and regulations.
Oversee and manage set up and equipment needs for Life Cycle events and events by outside organizations.
Notify the Director of Facilities Operations about security needs for any event expecting over 100 people or a family requests security.
Monitor kitchen operations and assist other staff with the upkeep of the kitchen. Communicate with the Director of Facilities Operations when machines need service or items need to be purchased to keep the kitchens operational and within health code standards.
Perform other duties as requested by the Director of Facilities Operations or Executive Director.
